Greetings and Salutations
I'm Randy Churchwell, co-owner of Grace Publications. I would like to thank our host, Yvonne, for offering us the opportunity to be a part of tonight's forum.
My partner and wife, Nancy, is here with me tonight.
Nancy is the President, CEO and CCO (Chief Creative Officer) of our company.
When we get to the question and answer session, Nancy will be jumping in as needed.
My function at Grace Publications is Sales, Marketing and Distribution and taking care of our customers.
I see every order and sometimes help with the phones. I also manage our employees who delight in hearing my dissertations on productivity and the American Way (probably not).
Grace Publications, LLC has always been a family owned company. Our founder and namesake, Grace Herr, began her career in the craft industry with a small shop in the basement of her home.
A stay at home mother of 4, Grace's is truly an American success story. Initially selling home decorating craft materials and teaching classes, the business became successful enough to move into a small retail building.
The business expanded over the next four years into bigger and bigger stores.
By 1974, the shop had become so successful that Grace 's husband, Doug, left his position as treasurer and controller of an electronic printing control company and devoted his full attention to managing and growing the business.
After franchising two stores, Doug and Grace decided that wholesaling supplies to all stores was a better business model to follow. And thus, Herr's Incorporated was formed.
Grace Publications was founded in 1975 as Herr Publications when Grace wrote and published two books on Country Carving. More books were published as instructional needs in the distribution business were identified.
As demand for instructional materials increased, Grace recruited talented artist / authors to create the required subject matter and compose accurate, easy to understand instructions. Some of these authors, including Pat Olson and Jan Way, are still publishing books with us today.
When Herr's Incorporated was sold in 1985, Doug and Grace kept the publication business and expanded the company to serve wholesale distributors in the craft industry. Herr Publications became Grace Publications shortly thereafter to alleviate the confusion of having two similarly named companies in the same city.
Nancy, Doug and Grace's daughter, and I became involved with Grace Publications in 2001 when we relocated our family from Tennessee to Danville, Illinois to manage the business.
Nancy literally grew up in the craft industry and experienced it all…retail, wholesale, and of course, publishing.
I worked for a major chemical company providing technical service for, surprisingly, a lot of raw materials that are used in craft products. Especially candles, inks, paints, and polymer clay.
Nancy and I purchased the company from Doug and Grace effective January 1, 2003. A relocation of the company to Johnson City, Tennessee coincided with the purchase.
A lot of people ask "Why Tennessee?" The short answer is "We LOVE it here!" Johnson City is located within 30 miles of the North Carolina border.
The view of the mountains from our office window is astounding. We enjoy horseback riding, hiking, and some whitewater rafting. Since a good portion of the Tennessee/ North Carolina border is National Forest, we are never at a loss for a place to seek "adventures".
There's also a great business climate here. Several of the printers that we use are located in the area and our local university has a graphic arts program. Which is a plus for us!
Our product line includes titles for painting, general crafts, home decorating, macramé, design books, quotable sayings and personalizing.
We currently have 50 or so artist/authors on contract and a catalog of approximately 150 titles. New authors are selected in a variety of ways and I will detail those below:
(1) The author submits an idea.
(2) A current author recommends someone.
(3) We meet designers at Trade Shows. A lot of our authors are members of either the Society of Decorative Painters or the Society of Craft Designers.
(4) We see something that we like and track down the artist.
Regardless of how we meet an author, everyone is asked to "make their pitch". This is usually in the form of a submission with photographs of the finished project and the author's instructions for making the project.
We look at:
(1) Writing style
Read-ability" (a Randy word meaning : can the author effectively convey their message)
(3) Availability of materials used.
(4) Does it fit our market?
(5) Do we think we can sell it? (This is very important!)
Subject matter is rejected because:
(1) It is too similar to a title that we are already selling.
(2) The author used products that are hard to find and not readily available.
(3) The book doesn't fit either our market or our audience
(4) We don't like the quality of the work. This could include bad artwork and/or poor writing skills.
(5) We think the author is using a product in an unsafe manner.
The author has to certify that the material they have submitted is unique to them. We do not want material that has already been published by other companies, including magazines.
If we like what we see, the author will be sent a contract. If not, their submission will be returned to them with our standard rejection letter.
The contract details how and when the author will be paid and other performance expectations. The majority of our authors are paid a royalty based on the sales of the book.
It is important that authors thoroughly read every contract that is sent to them. It is my understanding that many publishers' contracts convey all rights to the design to the publisher (this includes articles that are sent to magazines).
When an author signs our contract, she or he is giving us exclusive rights to the collection of her or his designs (as they are described in the resulting book) for as long as the book is in print. They cannot submit those designs for publication in any other medium without our approval.
We occasionally give a magazine permission to reprint the directions for one project from the book as it helps to promote sales.
The author retains the rights to any individual design to use for unrelated purposes.
For example:
Let's say we have a book about decorating terra cotta pots and one of the designs features a little girl sitting on a bench with her dog (or cat).
A manufacturer sees the book and wants to make resin statues or candles using the likeness of the little girl and her pet.
That's a perfectly acceptable "unrelated use" of the design
However, if a manufacturer wanted to mass-produce terra cotta pots featuring the design exactly as it appeared in our book; they would be in violation of our copyright.
After we have agreed to publish a title, the submission is tentatively placed on our production schedule upon receipt of a signed contract. The actual release date depends on:
(1) Our backlog
(2) Our priorities (subject matter that has been widely requested gets priority over other topics)
(3) How quickly the author ships their materials and instructions to us.
Once we assign a project to a graphic artist, the process moves fairly swiftly. This is the point when we need to know where the author is at all times so questions can be answered in a timely manner.
After photography and layout are complete the "creative crew' meets to decide if we need to cut back on the number of projects and if so, which ones.
Sometimes we ask the author to send a few more.
A lot of time is spent on editing, verifying sources of products featured in the book, and making sure that there are no omissions in the instructions.
The pricing of our books is based on the printing costs, which relates to the number of pages being printed.
When we're finished with layout and editing, we send a print out of the book to the author. This allows the author to see the book before it goes to press and to recommend any changes that may need to be made.
So now we are at the print and sell stage. And everybody wants to know which chain stores are going to buy their book and when they will have it on the shelves.
The answer is "We never know until the orders come in".
There is so much material being produced that store buyers are literally covered up with samples on a daily basis.
To compound the confusion, most chain stores plan a year ahead on what to buy. So theoretically, it could take months to get a title in a chain store.
Independent stores and Internet shops can respond to trends more quickly and in some cases are willing to special order for their customers.
We recognize this fact and apply the same priority to orders from smaller stores as we do for the larger chains.
Our policy is to ship all orders within 24 hours of receipt with the exception of weekends and holidays.
Orders that are received before 3:00PM Eastern Time are usually shipped the same day.
After all the orders are shipped we go home.
We eat. We sleep. We dream about heartwarming designs, whimsical doodles and soothing colors.
And tomorrow, we do it all over again

randy Concerning copyrights - there are some publishers who will publish at the author's expense and I suppose under those circumstances the author owns the copyright.

randy It may be come hot all over again. Or the big guys are on the trailing edge.
nancy It is also something that author/artists who have done a number of books will tell you.

ViaVon I'm on the Gresham Art Review Committee and we sponsor local area artists at our exhibits each month -- the variety and mediums of artwork is awesome!
